    Moving the Annual Election and Meeting

    The ArkGeo Board has voted to move the Annual Election to March and the Annual Meeting to April starting in 2016. The main reason behind this change is to move the annual event to a cooler month which means we aren’t limited to facilities with air conditioning. This opens up many more potential venues for the event including our great state parks. A second benefit is to move the event out of the prime vacation window and away from GeoWoodstock. The only potential conflict in April is Easter, which we can easily work around.

    The Annual Election is being moved to March because the Standing Rules stipulate to schedule the Annual Event/Meeting close to the end of the election. The new election schedule is as follows:
    January Board Meeting: Board elects new Executive Committee. (This determines how many Board positions will be open.) No Change
    January 1: Nominations from general membership begin (open for 30 days). Was March 1
    January 31: Nominations close. Was April 1
    February 8: Board compiles a slate of nominees. This may be done via forum discussion or email. Was April Board Meeting
    February 15: (1) Election Committee posts finalized ballot to web site. Ballot should include all nominees and the number of Board positions to be filled. (2) Election Committee sends notification (including ballot) to Voting Members (must be sent at least two weeks prior to beginning of election). (3) Web site admin sets up election. Was April 15
    March 1: Election begins the first day of the month and will remain open until the final day of the month. Was May 1
    March 31: Election closes and winners are announced. Was June 1
    April Board Meeting: Newly-elected Board members take office and should be prepared to fulfill their duties. The intent is to hold the April board meeting in conjunction with the ArkGeo Annual Meeting. (Most likely the night before) Was July 1

    For this year only, the Fiscal Year will be 9 months instead of 12 and all current board members will have their terms shortened by 3 months. The next Annual Treasurers report which covers the period from one Annual Meeting to the next will only be 9 months, and then revert back to 12 months following the 2016 meeting.

    The Events Committee has been tasked with finalizing a date and location for the 2016 meeting with a goal of having a decision by August 1. The dates currently being considered are April 9 and 16.

    Thank you to our board for making this decision. We think this is a great idea and will allow more location options for ArkGeo's annual meeting.

    I think that this is a great idea and one that I would liked to have pushed had I remained on the board. It solves a lot of problems and by pushing back to April avoids the Mothers Day conflict we ran into when we looked at moving the dates back before.
